EAH-PersonTraining-View Quick Start Guide

Overview

The following article is a start guide for those using the EAH-PersonTraining-View withing the Employee Activity Hub (EAH). It includes various terms for those using the tool and tips for new users.

Critical Concepts

The EAH-PersonTraining-View is focused on one row per training activity, per training assignment (if there is one), per training attempt.

  • This view contains UC Learning Center Training information combined with current employee information for employees who exist in UC Path. 
  • This view combines EAH-Workforce-View data with the UC Learning Center Training data.
  • Employees in EAH-Workforce-View that do not appear in the EAH-PersonTraining-View have not been assigned or have not attempted an activity in the training system.
  • Only Completed attempts and Assigned Learning Activities have been added to EAH.  Any in-progress attempts that are not assigned will not appear in EAH.

Key Concepts

There are various types of Learning Activities which can overlap:

  •  Assigned
    • Learning Activity is required for this user and is on their “Assigned Training” list in the UCLC. In reporting, assigned training will have a compliance status associated with the activity such as: Satisfied, Overdue/Expired, or Assigned. In the UCLC, training assignments are typically governed by “assignment audiences”, which are a set of rules that determine who should receive what (if any) training assignments. The rules may include current employment status, department, and or job.
    • Use 'Training Assignment Status' to see if the training is assigned to the user. 
    • There is 1 assignment per learner per learning activity.
  • Attempt
    • In the EAH-PersonTraining-View, only completed attempts (or tries) are included. If a user is registered for or in progress on a given activity in the UCLC, the attempt won’t appear in EAH until (or if) it has been completed.

    • A learner can attempt any activity, assigned or not assigned. 
    • Use fields in the Attempt folders to see all attempts for that training activity. 
    • This will increase the number of rows in your report by the number to attempts per learning activity.  Learners can attempt a training assignment more than once.
    • Use the Attempt Completion Status for the status of the attempt.
  • Completion
    • User has participated in and successfully met all requirements for the Learning Activity.
    • A learner can complete any activity, assigned or not assigned. 
    • Use the Training Attempt Current Flag = Yes with the Training Attempt Completion Status to see if the learner completed the learning activity.
  • Attended
    • User has participated in the learning activity. In many cases Attended is synonymous with Completed. However, some learning activities that contain a scored assessment can be Attended but NOT Completed if the user fails to achieve the minimum required score on that assessment.
  • Certification
    • This is a type of learning activity for which the completion is only valid for a limited time period. To earn a certification, users complete an activity successfully, which is then considered “Satisfied” in compliance-related reports. An acquired certification remains valid until the expiration date. Users receive system-generated email reminders when an assigned certification is about to expire.

Assignment Status values

  • Satisfied: Learning Activity is assigned to the user, and the user has completed the required training. If the learning activity is a certification*, their expiration date is in the future.
  • Assigned: Learning Activity is assigned to the user, the user has not yet completed the required training, and the due date is in the future.
  • Expired: Learning Activity is assigned to the user, the activity is a certification* which the user has previously completed, and their expiration date (equivalent to a due date) has passed.
  • Overdue:  Learning Activity is assigned to the user, the user has not yet completed the required training, and the due date has passed.
  • *See above for certification details.


Use Cases

  • Provide reporting around employee required UC Learning training.
  • Allow automated verification of training compliance.
  • Allow automated removed of access when employee certification has expired.
