Process: Ecotime Timekeeping Compliance for Graduate Student Employees

Overview

Beginning with the October 2025 pay period (issued in early November), the IA System will automatically generate counseling memos for graduate student employees who fail to complete their timesheets by the monthly deadline.

Before memos are issued, departments are provided an opportunity to review the list of affected employees and exclude individuals who experienced extenuating circumstances that prevented timely submission of their timesheets.

Background

On October 8, 2024, the UC and the UAW signed an agreement wherein the parties have established in writing that all UAW-represented academic appointees – including ASEs, GSRs, Postdoctoral Scholars, and Academic Researchers – shall comply with local time and attendance system obligations. Specifically, all UAW-represented academic appointees are required to complete their timesheets every month, whether they have any absences to report or not.
