At the top of an applicant’s record there are multiple tabs, and each of these tabs displays different information about the applicant. By using these tabs to navigate the applicant’s record, you can find biographical information, past communications between UCSD and the applicant, the application materials they’ve submitted, and much more! On this page we will go over each of the following tabs & their sections:
Dashboard
Click on the Dashboard tab to see an overview of the applicant’s record. At the top of this section, and on the column on the right, you will see some biographical information about the applicant, including their date of birth, their address (with a map of the general area), and an email address. The email address displayed here is the email address they used to create their application. You can click on this email to send a message to the applicant (see our Email an Individual Applicant guide for instructions).
The next part of this page is a diagram of the application bins. This allows you to see at a glance what stage of the admissions process this application is currently in. The application is currently in the bin that is highlighted in dark blue. Bins highlighted with a medium-blue color are the bins that the application has travelled through (meaning, the application was in that bin at some point previously). The example below shows how one application has travelled through 11 bins during the admission process before finally ending in the Outcome - Accepted bin:
There are three more sections in the Dashboard tab:
Activity History: a diagram of the applicant’s history with the application, communications, and logins
Interactions: a brief description of materials received from the applicant
Academic History: an overview of all institutions the applicant reported on their application
Timeline
The next tab is the Timeline tab, which provides a view of all interactions the applicant has had with the application system, from logins to communications. This section will automatically display some of the most recent interactions. To view older interactions, you will need to click the boxes in the top right corner of this section and enter the date range you wish to view.
To view any messages that have previously been sent through Slate, click on the Subject of the email. A new window will pop up that shows you the message exactly as the applicant saw it.
In the right-side column, you will see a brief list of other options to view information in this tab:
Timeline: the default view, showing an overview of all interactions with the application
Interactions: provides a more in-depth look at the messages sent out to the application
Campaigns: if you have created any campaigns, you can view those here
Application
The next tab is the application tab. This is the tab that is labelled with the entry term and major code of the application. Some applicant records may have more than one application tab – there will be one for each application that the applicant submitted. In this tab you will be able to view all the materials submitted and actions completed for that specific application.
The application tab has a number of informative sections! We will go over each one briefly.
Checklist
This section shows you which materials have been received through the application portal: mainly transcripts and recommendation letters. Once the applicant is admitted, this section also shows the Decision Reply Form and the Statement of Legal Residence.
Note that this section only shows materials that were received through the application portal. This means that transcripts in this section are the transcripts that we asked the applicant to submit with their application for review in order to evaluate their application. These are not the transcripts that we need in order to finalize admission once they’ve been admitted (those will be covered in the next section!).
Materials
This section includes all the materials that have been associated with the application. This can be anything from writing samples, fellowship review documents, resumes and statements of purpose. You will see that the Materials section also includes transcripts and recommendation letters.
Clicking on any material in this list will allow you to view and edit those documents. The User column shows the name of the person who most recently uploaded or edited the material. For more information on materials, see our guide titled Uploading Materials to a Record.
Decisions
This section shows all decisions associated with the application. This section includes two kinds of decisions: those made by UCSD (for example, decisions to Deny or Admit, or a decision to offer a fellowship) and those made by the student (decisions to Accept or Decline their offers). The Effective column displays when the decision was made.
Click on any of these decisions to view the decision letter.
Activities
This section displays all application-related activities. Here you can see when payments, documents, and reply forms were received.
Profile
The profile tab contains personal information about the applicant such as their contact information, their biographical/demographic information, and their academic history.
On the right-hand side is a column showing multiple sections within the profile tab:
Click the “Schools” section to view the student’s Academic History. If your student is missing required Admissions documents to finalize their admission, they will be shown under the “Missing Docs” column here:
