Guidelines

There are a few things you will want to keep in mind while logging time in ITS-PRO

  1. Record when you worked. Accurately reporting your time is more important than recording exactly 8 hours for each day. Some days you may work more than 8 hours and some days you may work less than 8 hours. Make sure whenever you spend time on work related activities, that respective time gets logged in ITS-PRO. 
  2. Record when you didn't work. While While ITS-PRO is not integrated with MyTime Ecotime (yet), there should be alignment with how you account for when you did not work in both of these systems.  If If you log Out Of Office time in MyTimeEcoTime, that same Out Of Office time should be logged in ITS-ProPRO.

Any contract employee working approximately 40hrs per week for ITS should record time in ITS PRO. Consultants and vendors typically will not log time in ITS PRO. However, a project manager or project sponsor can determine if it is either necessary or provides value for a vendor or consultant to record time in ITS PRO.

A: If a project team member outside of ITS is assigned a project task, they are required to enter the amount of time they worked on that task, just like anyone else on the project. They are not expected to enter time for anything beyond the project tasks that they are assigned.

Why did the links and IDs for the general ITS time tracking areas change?

Each year, a new set of general time logging issues are created as follows:

  1. Every year, starting in January, the new year's general time logging issues will be created.
  2. If, in January, you still log time against the previous year's general time issue, you will receive a friendly reminder (including a link to the new one).
  3. In February, last year's general time logging issues will be marked as "Inactive" and locked (so make sure you are up to date on your time logging!)
  4. The title of the general time logging will start with the YEAR, i.e. "2021 - Organize Workspace"
  5. The issues will still continue to live in SVCOPS, but will get a new key (i.e. SVCOPS-14 to SVCOPS-XXX).

Follow these steps:

  1. Log in to https://its-pro.ucsd.edu
  2. From the top menu bar click on or hover over "Tempo"
  3. Under the TEAMS section, click on more...
  4. Find and click on your team name (this is the AD group minus the ITS- prefix)
  5. By default, you'll see the Team Summary view, click on the "Time Tracking" view on the upper right of the page
  6. This will show the view of time entered for each team members for that period.
  7. If it doesn't show, please submit a ticket in ServiceNow.

There are several ways to log a ticket. Please use the mechanism that is most convenient for you, they will all be routed to the same support queue. Here are the options:

  2. Email the Service Desk at servicedesk@ucsd.edu
  3. Use the customer portal to report "Something Broken"
  4. Email the ITS PRO support group at its-pro@ucsd.edu
