Project Monitoring and Controlling
The purpose of this phase is to track, review, and regulate the project progress and performance, identify and correct any deviations from the project plan, and take corrective action to ensure the project is delivered on time, within budget, and to the required quality standards.
Key Objectives:
Track project progress and performance against the project plan.
Identify and analyze deviations from the project plan.
Take corrective action to address deviations and ensure project deliverables are met.
Monitor and control project scope, schedule, budget, and quality.
Identify and respond to project risks and opportunities.
Ensure project stakeholders are informed and engaged throughout the project.
Key Activities:
Collect and analyze project data, including progress reports, budget reports, and quality metrics.
Identify and document deviations from the project plan, including scope, schedule, budget, and quality.
Analyze the root cause of deviations and develop corrective action plans.
Implement corrective action plans to get the project back on track.
Monitor and control project risks, including identifying new risks and implementing risk mitigation strategies.
Ensure project stakeholders are informed and engaged throughout the project, including status reporting and progress updates.
Conduct regular project status meetings and progress reviews.
Update the project management plan and project schedule as necessary.

Outcome:
The Project Monitoring and Controlling phase ensures that the project is delivered on time, within budget, and to the required quality standards. The project manager and team continuously monitor and control the project progress and performance, identify and correct any deviations from the project plan, and take corrective action to ensure the project meets its objectives. The project is then ready to move into the final phase, Project Closing.

When should dates be updated?
On a monthly basis, the schedule projection should be validated using allocations and estimates, with any necessary updates put into the ITS-PRO Project Record. Keep the original dates on the charter tab, and update the go live date and end date in the “Updates” tab. For projects working against a hard date (EOL, compliance, etc.), schedules should be validated at least twice a month. Be sure to log any associated risks or issues associated with schedule slide, and to escalate with managers if the issue is due to insufficient resource allocation.
