Access
Q: How do I request access to Cognos?
A: https://blink.ucsd.edu/technology/bi/tools/cognos/index.html#faqs
Error Messages
Q: Error: model or package /name/ does not exist or you are not allowed to use it because of security settings.
A: https://blink.ucsd.edu/technology/bi/tools/cognos/index.html#error-messages
Q: Report View is greyed out.
A: The Report View has lost its connection to the source report it was created from. You can re-connect the report view to the source report by going to the triple dots to the right of the report view name, select Properties and select Source Report to find and select the source report.
Folder Best Practices
Q: What is the Business User Development folder?
A: It is where teams keep their ‘in-progress’ or ‘draft’ reports. This folder stays in Cognos DEV.
Q: Where do I save my report?
A: If your report is only for you then save it to your My Content. If your report is ready for you to share with your team then move it to Team Content > Business User Development > Your Team Folder. If your report is ready to be migrated to Cognos QA or Cognos Prod then move it to Team Content > Your Team Folder.
Watch out!
If you are using a data module the data module must live in the same folder or folder structure as the report so the customer has access to both.
If you are using an Excel in your data module the Excel must live in the same folder or folder structure as the report so the customer has access to both.
If you move your data module you will need to re-point all reports using that data module to the new location of the data module.
If you move a report and are using a drill through then you will need to re-point the drill through to the new report location.
If you move a report to a different folder in the same environment the link to that report will change.
Jobs/Schedules
Q: Where do reports save to?
When using a Cognos Job or Schedule you are offered several save locations:
Save = saves to Cognos server, accessible via Cognos server
Save to cloud = UCSD doesn’t use Cognos cloud so this option will not work
Save report as an external file = save location is Cognos server but not accessible via Cognos server, can be accessed by other scripts, does not allow for additional security or enforcement of Cognos security
Send report by email = will email link to saved report, link to report for user to run or attachment of report
Send report to mobile device = UCSD does not use Cognos mobile
Print = UCSD has not set up a print option
Q: How do I set up a scheduled report to send from a different email address?
Cognos only sends from the account that is signed in to set up the schedule.
In order to send an email from another account you must sign into Cognos from that account. You can work with your local Active Directory (AD) team to set up a service account that is connected to the email you want to send from. Once you have the service account set up and added to the AD group that has access to your report, you can sign in as the service account and schedule the burst.
