How to Request Folders in Cognos and Tableau

Cognos/Tableau folders are only available to the Active Directory (AD) groups they are associated with. In order to share your reports, report developers will need to complete the following two steps.

Create / Identify Active Directory (AD) Groups to see the Folder Contents

Report Developers can request new AD groups be created by contacting their local IT services. ITS-BIA recommends the following naming convention for new AD groups:

  • TeamName-Project-BI-Developer for the group of developers who will be building reports

  • TeamName-Project-BI-Consumer for the group of users who will be viewing or using the reports

ITS-BIA cannot create, modify or delete any AD security groups.

Email busintel@ucsd.edu to Request a New Folder

Report Developer can email busintel@ucsd.edu with the following:

  1. the name of the new folder,

  2. the name of the Active Directory group(s) that needs Report Developer access, (make sure you are in this group), and

  3. Optional: the name of the Active Directory group(s) that need Consumer access (options below).

Tableau Report Developers can select from two Consumer access options:

  • Default Consumer access (includes data download ability)

  • Consumer access with no data download ability (Tableau only, in Cognos this must be built into the report by the report developer)

Report Developer can email busintel@ucsd.edu with the following:

  1. the name of the existing folder,

  2. the name of the Active Directory group(s) that needs Report Developer access, (make sure you are in this group), and

  3. the name of the Active Directory group(s) that need Consumer access (options below).
