Instructions on how to deal with faculty when they leave Biology/UCSD and what needs to be updated on the website. Includes possible extra steps in the case of special accommodations and possible reasons for departure.

Per Rick Firtel at WOC meeting 3/31/14:

All departed faculty should immediately be removed from all website listings and profile should be taken down.

Hosted Lab Sites

All school hosted sites belong to UC San Diego, therefore, upon departure (either death or relocation), the school will take the following steps to handle lab site services

• If the PI moves to another division on campus or another institution
• We will ask the PI if they’d like to set up a temporary redirect to their new site. If a new site is available, a courtesy redirect will be placed on the biology lab URL to a new lab or profile with the faculty member's new division or organization. 
• After the grace period has ended, the site material will be removed from hosting on our servers (or the service plan will be discontinued)
• If the faculty member is deceased, link to the In Memoriam for 1 year
• Otherwise, lab sites will stop being hosted by the school
  • BCS will email the PI and/or section chair to notify them that their lab site will be removed from hosting

News Articles and Listings 

• Archive any articles or spotlights that reference the departing faculty member that are currently on the home page.
• Remove faculty member from all lists upon their separation date.

Considerations:

• In the following cases, accommodate whenever possible. Discuss with Web Operations Committee (WOC) if needed.
  • If the departing faculty member has ethical or courtesy reasons for how that person wants to communicate their departure
  • Specific request for special handling and/or wishes of the family in extenuating circumstances

Possible reasons for departure:

• left for another institution
• left academia
• changed department
• passed away - See Policy for Deceased Faculty
