OGL Training language (to incorporate into our comms):

  • Focus: Resource roles and commitments defined across different project stages, focused on defining the project plan with clear governance, roles, and responsibilities.

  • Refine: the focus of this stage is selecting, reviewing, and refining the OGL content to ensure alignment with UC San Diego’s requirements (i.e., Blink and KBA pages).

  • Enable: occurs when the Cloud solution goes live and will involve monitoring activities and content to ensure successful deployment to the production environment and checks and balances in place for content sign-off.

  • Mature: Though the preceding stages ensure OGL is a success from day one, the Mature stage ensures OGL is an integral part of our business strategy through user feedback, analytics, and upgrade cycles.


Kick-off notes (OCM work):

  • Focusing on the what:

    • what is OGL?

      • OGL is an overlay on the browser

      • works independent of the cloud applications

      • understands user behavior in the application and presents content

      • has no direct communication with the cloud application

      • does not require user accounts to be created

  • focusing on the why of the initiative:

    • why digital transformation and organizational change are vital to UCSD BFS

      • opportunity to bring into focus the vision of empowered users and operational excellence

      • modern and easy-to-use system for understanding BFS content and resources

      • To do:

        • define goals for each stage

        • build out meeting agendas (e.g., add an activity for engagement)


Kick-off Meeting Agenda:

  2. Identify holders of key roles and responsibilities; sets the tone and clarifies roles + responsibilities

    1. clarify roles and responsibilities for each team member

    2. why each person matters: reiterate the interdependencies of each member’s contribution, leading to faster Cloud adoption and enhanced user experience.

  3. Review training plan and digital learning assignment

  4. determine appropriate meeting cadence based on timelines
