Appendix: Timekeeping
Overview
Effective March 2026, the Ecotime compliance process will be administered by the GEPA Financial Support Unit.
Timekeeping Requirement
On October 8, 2024, UC and UAW reached an agreement confirming that all UAW-represented academic appointees — including ASEs, GSRs, Postdoctoral Scholars, and Academic Researchers — must follow local time and attendance reporting requirements. Specifically, all UAW-represented academic appointees are required to complete their timesheets every month, whether they have any absences to report or not.

Once monthly timekeeping data is made available at the beginning of each month, it will be added to the IA System and made available for departments to review.
Departmental Responsibilities
Supervisors must review and approve timesheets for their employees at the appropriate time each pay cycle.
Department timekeepers and administrators must review the monthly list of academic student employees identified to receive a counseling memo. If appropriate, departments may mark employees for exclusion. Any exclusion must be accompanied by a written justification at the time the action is taken.
