Ecotime

Chris Bryan’s last day is Friday of next week. We’re transitioning all PM responsibilities to Brian Smith (our SIS PM). Brian has also been our interim service owner so this makes sense.  

Regarding the Ecotime project:

Tickets Tickets Tickets – I think Kevin described this project well as “smoldering”. We’ve struggles to get Payroll into Service Now to address tickets. So, Brian Smith scheduled working sessions this past Sat, Sun, and Monday and they got down to 158 open tickets. There is volume coming in every day so we’ve decided that we’re going to schedule zoom calls with the Payroll team to work on tickets to ensure we’re on top of them.

We’re seeing a variety of issues :

  • 1/3 to 1/2 of volume is around visibility – Managers/timekeepers not being able to see employees

Biggest risk we are working through now is that the data in Ecotime is not the same as the data in UCPath. Team is working through how to mitigate this now. Meeting Friday at noon with Pearl to decide.

Great news so far: We have not seen a ticket where we have not paid someone incorrectly due to Ecotime configuration.

UCPath

I’m please to say that the UCPath CUTOVER is going well overall. We finished up the monthly data conversion 2 weeks ago had around 18 stabilization tasks. Mostly data validation issues:

  • Statuses for employees were incorrect (if we get this wrong we lay off employees essentially). Big thank you to Rich Flees for doing fantastic validation work to protect our uses.
  • We also had issues with the error reports from the UCPath center. No documentation for how error messages need to be processed. The team is working through this now.
  • Multiple issues with access – getting ITS operational team members access to UCPath (this took 5-6 days to happen) and we still have employees that do not have access.

Bi-weekly data conversion is completed and data validation has kicked off. Unfortunately, we had a DDODS data load informatica job failure that has cost the team time today.  We have folks waiting to validate this data. We’ve been given less time than the Monthly for validations and if we find issues, then we have to go to PMBI, then to UCOP… then we wait 3-5 days. RISK: Tight timeline for validation. 

The cause of this was Informatica going down last night – Jobs were restarted but the DDODS was not.. RISK: We need monitoring.

Other than cut-over activities: the team is also working on the OFC transition – 101 / 170 is now. Then Journals 704/703.

Finance (did not cover all)

Integration – Overall, development of integrations has been going well.

  • Cost transfer are behind. Kuali Sparcm has not started – and our developer for this may go on paternity leave any day now. We do have a mitigation with manual creation with awards. Billing can wait for up to one and half months. So, we can still collect money and bill which is most import. – We’re tracking this closely.

Integration Platform:

  • Version 3 of the streaming platform is here!!
  • Released the 3.0 platform yesterday and were doing training and beginning to move workloads over to it tomorrow.
  • Still have some cleanup – monitoring, SSL certs.
  • Development teams are communicating blockers and the integration teams are working through them.
  • If for whatever reason the 3.0 does not work, we can use the 2.0 platform. 2.0 does not have:
    • No build automation (new environment for qa/dev testing -0 it takes 8-15 hours). 3.0 takes 2 hours and is automated.
    • No monitoring
    • Better security
    • Does not scale as easily (hours vs minutes)
    • No multi-tenancy

We just need to be on-top of the FIS blockers. There is one with the HTTP locking issue that we can’t recreate. 

Conversion testing is going well.

  • PPM/AR is an open risk going into go-live. Cut-over plan for these are getting deep dives this week.
  • Significant gaps in testing for Concur – they are behind with their requirements traceability matrix. Erin is working on closing this gap.
    • Oracle / Concur – 67% Requirements / tests to prove we have done them.

Other major gap is around reporting: We’re building, gaining speed but no long term resources.

Training: “In person” training kicked off this week. Hypercare and service transition currently under progress. Issues figuring out who is tier 1, project team is burnt out. Hopefully training will inform what and who is needed for hypercare.

Identity: Social Login (Cirrus) 

Social Logins (cirrus) project go-live was a success. It is being used by alumni to get access to their records. Congrats Mike and Team.

Employee Opt-in to receive COVID Screening


Health???per: Chris Longhurst 5.20.20. Capture employees who are not UCSD Health patients to opt in to having an Epic record and use of their SSN.
County Order to Return to Work: Universal Symptom Monitoring????Requires employees to affirmatively indicate that they are symptom free before returning to work. ITS has mocked up in campus ServiceNow. Health is wanting to use Qualtrics. Question about scope - Health wants to use the answers to the survey to determine priority for testing. ServiceNow prototype already complete if we want to use this.
Researcher on Campus Check in/check out system.????Asks researchers to log time in and time out at the lab. Presumably this is to support contact tracing in case a lab researcher ended up testing positive for COVID.
