Project wins - Bookstore

@Chris Ranglas

  • Bookstore has been transitioning from a legacy point of sale system to an Oracle system, in parallel with key resource changes

  • Bookstore decided to outsource entire course material operation... 3 wks before Fall Term

    • Procurement, security, website, implementation

  • Risk: if this doesn't go well, students and faculty don't have the course materials they need

  • Strong leadership on the business side, support from procurement, networking, ITS, vendor → selling course materials to students in physical bookstore and online seamlessly

Discuss how we want to share wins and cross functional impacts and challenges

all

  • Team will raise their hands / volunteer to share

True backlog - management of dates

all

Objective: reduce work about work (manually editing dates); data driven roadmap (not ppt)

Constraint: date required, even for unplanned backlog (can't currently get rid of dates without creating a null error in PAH)

Most common use case will likely be enhancement workstream (project work should be modeled out and planned)

Proposal:

Milestones in PMO to be used globally in ITS

  • Next FY (Jun 30 2024)

  • Next +1 FY (Jun 30 2025)

  • 3-5 year roadmap (start date of +3 FYs, end date of +5 FYs) – "no idea" – is 3 years too close in, should it be 5 yrs?

When work is planned, link to milestone should be broken and actual dates estimated

Request: schedule mtg w/ your SO to review projects and their portfolio

Reminder: using Jira for tasks, not collab

Reminder: project CoP next week - Erika S from Finance presenting: how they use components, plans, automations to manage their portfolio
